Terms & Conditions
Booking Deposit and Payment:
To secure your event date, we require a $2,000 deposit. Don’t worry, it’s not as scary as it sounds! Failure to provide the deposit within the specified period will make the event date available to other parties. The final balance is due 10 days prior to the event date. We accept payments via EFT or Credit Card for your convenience.
Cancellation:
Life happens; we get it! If you need to cancel less than two months before the big day, unfortunately, you’ll lose 100% of the booking deposit and 30% of the final balance owing. But if it’s due to unforeseen circumstances, like an unexpected ninja attack (or something less exciting like illness or family emergencies), we’ll honour your deposit for rescheduling, subject to availability. If we reschedule, a different team might be involved, so we’ll need to find a date that works for everyone.
Additional Hours Video/Photography:
Sometimes, the party’s just too good to end on time! If you need us to stick around longer, no worries. We’ll charge an hourly rate of $280 per hour per cameraman. If the extra time extends past the hour by 15 minutes or more, we’ll charge it as an additional hour. Time flies when you’re having fun, right?
Photographic and Videography Materials and Copyright:
Who owns what? Until you’ve paid in full, all the cool stuff we capture belongs to us. But once the final payment is made, it’s all yours! We might still show off your fantastic day in our advertising (with your permission). Raw files are like the secret sauce – we’ll only release them if you ask nicely and we’ve agreed in advance.
Delivery of Material:
They say patience is a virtue! After the event, it’ll take us 3 to 4 months to work our magic and deliver your video and photos. But don’t worry—we’ll keep you in the loop every step of the way!
Liability:
We’ll do our best to capture all the magic moments, but sometimes life throws us a curveball. We’re not liable for unforeseen circumstances, but we promise to do our best to make your day unforgettable!
Photography and Videography Amendments to Edits:
Photo Edits: We put a ton of care into making your photos shine. If you’d like extra tweaks after delivery, we’re happy to make them at a rate of $250 per hour. Just let us know your ideas, and we’ll chat about the details to make sure you get exactly what you’re looking for!
Teasers: We’ll pick the music and editing style that perfectly suits the energy of your day—no revisions needed, so you can just sit back and enjoy!
Highlight Video: If you’d like to make any tweaks to your highlight edit, we can do that for a fee of $250. We’re always open to chatting about small adjustments to make sure you love the final result.
Standard Long Video Edit: This edit is kept light and natural, preserving as much of the raw footage and original sound as possible. Edit changes not available for this edit.
Meals and Breaks:
Even superheroes need to refuel! If your event lasts over 8 hours, we’ll need a complete guest meal to keep us going. Just make sure to feed us to avoid a 45-minute off-site break. We promise we’re not picky eaters!
Location and Logistics:
Do you have any tricky spots we should know about? Let us in on the secret! Also, if there are any location changes or tricky access/parking situations, give us a heads-up. We’ll do our best to navigate the logistics and capture all the magic!
Creative Cooperation:
Let’s work together to make some magic happen! We’ll do our best to accommodate vendor and guest photo requests. Still, we will not be held responsible for photo hiccups or delays due to guest behaviour or activities by other vendors.
Failure to Perform:
If the unexpected happens, we’ve got your back! We’ll refund your deposit if we can’t perform due to unforeseen circumstances. We’ll try our best to provide alternative arrangements, but we won’t be liable for damages beyond the retail value of your order.
Public Liability Insurance:
Cinemotive holds comprehensive public liability insurance coverage. This insurance protects both Cinemotive and our clients in the unlikely event of accidents or property damage occurring during the event.
Travel Fee:
Additional travel and accommodation costs may apply for weddings outside the Sydney metropolitan area.
For Regional NSW Weddings:
- Travel costs will be calculated based on the distance from Sydney.
- If the wedding location requires an overnight stay, accommodation for at least one night will also be included in the final quote.
For Interstate Weddings:
- Flights will need to be arranged for 2 team members.
- Accommodation for at least one night (potentially more, depending on the location and wedding schedule) will be required.
- Additional transport costs, such as airport transfers or car rentals, will be factored into the total.
All travel and accommodation arrangements will be discussed and agreed upon during the booking process to ensure everything is tailored to your needs.
Separate Contract:
Remember, there’s a separate contract for all bookings with Cinemotive. This document is a fun overview of our general terms and conditions. The nitty-gritty details of your booking will be outlined in your contract agreement.
