These terms outline the general conditions for working with CineMotive. Your formal booking agreement may include additional details specific to your wedding, collection, inclusions, dates, locations and payment schedule.
A signed agreement and booking deposit are required before any wedding date is secured.
Booking deposit and payment
To secure your wedding date, a booking deposit is required. The deposit amount is confirmed in your booking agreement.
Your date is not confirmed until the deposit has been received and your booking agreement has been completed.
The remaining balance is due 10 days before the wedding date. Payments may be made by EFT or credit card.
Late or non-payment
If the remaining balance is not received by the due date, CineMotive is not obligated to provide coverage on the wedding date, and the booking may be treated as cancelled with cancellation terms applying.
Final photographs and films, including online galleries and downloads, are not delivered until full payment has been received.
Any amounts owing after the wedding — such as additional hours, albums or wall art — must be paid before the related items are delivered. Overdue accounts may have delivery and services suspended until payment is received.
Cancellation and rescheduling
If a booking is cancelled less than two months before the wedding date, the booking deposit is forfeited. A cancellation fee may also apply.
If the wedding is postponed due to illness, family emergency or circumstances outside your control, CineMotive will make reasonable efforts to transfer the booking deposit to a new date, subject to availability.
If the original team is unavailable for the new date, CineMotive may assign an alternative team.
Additional hours
Additional photography or cinematography coverage may be available on the day, subject to team availability.
Additional time is charged per hour, per photographer or cinematographer — fees apply. If coverage extends more than 15 minutes into an additional hour, the full additional hour will be charged.
Copyright and usage
CineMotive retains copyright in all photographic and video material.
Once full payment has been received, clients receive personal usage rights to the final delivered photographs and films.
CineMotive may use selected images and films for portfolio, website, social media, advertising and promotional purposes, unless otherwise agreed in writing.
Raw files are not included unless agreed in writing before the wedding.
Delivery of material
Final photographs and films are generally delivered within 12–16 weeks after the wedding date.
Delivery times may vary during peak wedding seasons or where additional editing, album design or client selections are required.
File retention and backup
CineMotive retains the original working files for 3 months after delivery. During this period, clients should download and back up their final photographs and films.
After 3 months, working files may be deleted, and CineMotive is not obligated to reproduce or re-supply them. Clients are responsible for maintaining their own backups of all delivered material.
Online gallery
Your final online gallery remains available for life, for as long as CineMotive continues to trade.
Should CineMotive cease trading, ongoing access cannot be guaranteed. For this reason, clients are encouraged to download and keep their own copies of all delivered files.
Editing and amendments
Photo editing is completed in CineMotive’s signature style. Additional retouching or requested changes after delivery may be quoted separately — fees apply.
Teaser films are edited at CineMotive’s creative discretion and are not subject to revisions.
Highlight film amendments may be requested and are charged per revision round — fees apply, unless otherwise agreed.
Standard long-form documentary edits are designed to preserve the natural flow, live audio and key events of the day. Edit changes are not available for this style of film.
Meals and breaks
For coverage exceeding 8 hours, a complete vendor meal must be provided for each CineMotive team member.
If meals are not provided, the team may take a 45-minute off-site break.
Location and logistics
Clients are responsible for advising CineMotive of all locations, access requirements, parking restrictions, permits, travel requirements and timing changes before the wedding day.
CineMotive will make reasonable efforts to work within the provided schedule and conditions.
Creative cooperation
CineMotive will work respectfully with clients, guests and other vendors.
CineMotive is not responsible for missed photographs, footage, delays or disruptions caused by guest behaviour, vendor delays, restricted access, weather, timeline changes or circumstances outside our control.
Failure to perform
If CineMotive is unable to perform due to illness, emergency, accident or circumstances beyond reasonable control, we will make reasonable efforts to provide an alternative team.
If no suitable alternative is available, liability is limited to the amount paid by the client for the affected service.
Public liability insurance
CineMotive holds public liability insurance for the protection of our team, clients and venues. The current certificate is available here.
Travel and accommodation
Additional travel and accommodation fees may apply for weddings outside the Sydney metropolitan area.
For regional NSW weddings, travel costs are calculated based on distance from Sydney. Overnight accommodation may be required.
For interstate weddings, flights, accommodation and transport may be required for two team members.
All travel arrangements and costs will be discussed and agreed during the booking process.

CineMotive collects and handles personal information in accordance with its Privacy Policy, available here.
Separate booking agreement
These Terms and Conditions provide a general overview only.
All confirmed bookings are subject to a separate written agreement, which outlines the specific details, inclusions, fees and conditions for your wedding.
