Planning Session
Wedding Day Planning Notes

Maddie & Peter

Before discussing collections and coverage options, I wanted to share some initial planning thoughts based on everything we discussed during our consultation.

One of the biggest factors influencing your photography and film coverage is the overall flow of the day.

I've started mapping out how the preparations, ceremony, portraits and reception could come together across both church options, while still allowing time for portraits at Retford Park and part of cocktail hour with your guests at Bendooley Estate.

Nothing here is locked in yet. These notes are simply an early planning exercise to help visualise what the day may look like and identify the options that will provide the most comfortable flow.
Initial Observations

What stands out so far.

After reviewing the preparation locations, church options, portrait locations and reception venue, there are a few key considerations that will influence the flow of the day.

Both Church Options Work

Both St Raphael's and St Nicholas can comfortably work within the timeline while still allowing time for portraits before the reception.

Retford Park is Achievable

The timing comfortably allows for a portrait session at Retford Park before heading to Bendooley Estate for cocktail hour and reception coverage.

Time With Guests Matters

The day can be structured to include portraits while still allowing you both to spend part of cocktail hour with your family and friends.

Ceremony Options

Two possible church timings.

Both church options can work. The main difference is how much breathing room each option creates before travelling to Bowral for portraits.

Option 1

St Raphael’s Greek Church

Liverpool
12:00pm – 2:00pm

  • 12:00pm – 12:45pm Marriage Ceremony
  • 12:45pm – 1:00pm Immediate family greetings
  • 1:00pm – 1:10pm Signing
  • 1:10pm – 1:30pm Immediate family photos inside the church
  • 1:30pm – 1:45pm Church exit and large group photo
  • 1:45pm – 2:00pm Buffer for delays, extra photos and departure
Option 2

St Nicholas Greek Church

Marrickville
12:30pm – 2:30pm

  • 12:30pm – 1:15pm Marriage Ceremony
  • 1:15pm – 1:30pm Immediate family greetings
  • 1:30pm – 1:40pm Signing
  • 1:40pm – 2:00pm Immediate family photos on the altar
  • 2:00pm – 2:15pm Church exit and large group photo
  • 2:15pm – 2:30pm Buffer for delays, extra photos and departure
From a timeline perspective, the Liverpool option creates a slightly more comfortable travel window before portraits, while the Marrickville option still works but leaves less room for delays before heading to Bowral.
Portrait Session

Time set aside for the two of you.

Following the ceremony, the day transitions from family celebrations into a dedicated portrait session. This is where we create the majority of your couple portraits while giving you both a chance to slow down and enjoy some quiet time together before the reception.

Travel to Bowral

From St Raphael's Church:

  • Approx. 86km
  • Approx. 1hr 10mins travel

From St Nicholas Church:

  • Approx. 106km
  • Approx. 1hr 20mins travel

Retford Park

Bowral

  • 3:50pm – 5:00pm Portrait Session
  • Estate grounds and gardens
  • Couple portraits
  • Bridal party photographs
  • Natural candid moments

Why Retford Park?

The estate provides a wide variety of backdrops without requiring additional travel between locations, allowing us to maximise photography time while keeping the day relaxed.

The goal is to create a strong collection of portraits while still arriving at Bendooley Estate with enough time to enjoy part of cocktail hour and spend time with your guests before reception entrances.
Reception Flow

Arriving at Bendooley Estate.

The reception timeline has been structured to balance portraits, guest interaction and reception formalities while maintaining a relaxed flow throughout the evening.

Cocktail Hour

Guest Arrivals

  • 5:00pm Guests arrive
  • 5:00pm Cocktail hour begins
  • 5:15pm – 5:30pm Bride & Groom mingle with guests
  • 5:30pm Guests invited to be seated
Before Entrances

Additional Portraits

  • 5:30pm – 5:55pm Additional portraits around Bendooley Estate
  • Time to capture the grounds and stables
  • Opportunity for relaxed candid moments together
  • Return in time for reception entrances
Reception Begins

Evening Formalities

  • 6:00pm Grand Entrances
  • 7:00pm Entrée Served
  • 7:10pm Optional Sunset Portrait Opportunity
  • 7:20pm Speeches – Part One
  • 8:00pm Dinner Served
  • 8:15pm Speeches – Part Two
  • Cake Cutting & First Dance
  • 9:00pm Dance Floor Opens
One of the advantages of this structure is that it allows time for portraits both before and during the reception while still creating opportunities to spend meaningful time with family and friends throughout cocktail hour and the evening.

Coverage Structure

The main difference between one team and two teams.

The ceremony, portraits and reception can be covered strongly with either option. The biggest difference is during preparations, where one team needs to travel between locations while two teams can document both sides of the morning at the same time.

Two Teams

Simultaneous Coverage

With two teams, both preparations can be covered at the same time, allowing the morning to feel more relaxed and less restricted by travel between locations.

  • More relaxed coverage at both locations
  • More candid moments with family and friends
  • More detail coverage during preparations
  • Less pressure around travel timing
One Team

Selective Coverage

With one team, both preparations can still be captured, however coverage becomes more selective as time needs to be allocated for travel between Connells Point and Sylvania.

  • Shorter coverage with the groom
  • Slightly reduced coverage with the bride
  • More structured preparation timeline
  • Still covers ceremony, portraits and reception strongly
Recommendation

Where Two Teams Helps Most

The biggest benefit of a second team is not just more coverage — it is allowing both sides of the morning to unfold naturally without one location needing to be rushed or shortened.

This is especially helpful when preparations are in separate locations and the ceremony timing is fixed.

A single team can absolutely cover the day, however the two-team structure provides a more complete and relaxed approach to the preparation portion of the wedding while keeping the rest of the day flowing comfortably.
Initial Recommendation

What I would lean towards at this stage.

Based on the locations, travel times and the overall flow of the day, there are a few things that stand out as I work through the planning.

Church Option

Liverpool Feels Slightly More Comfortable

Both church options can work well, however the Liverpool option creates a little more breathing room before travelling to Bowral and provides greater flexibility should the ceremony or family photos run behind.

Portrait Session

Retford Park Is Worth Including

Retford Park offers a beautiful variety of locations without needing multiple portrait stops. It allows us to create a diverse collection of images while keeping the day feeling relaxed.

Guest Experience

Protecting Time With Guests

One of the strengths of this timeline is that it still allows time to spend part of cocktail hour with your guests rather than disappearing for portraits for the entire afternoon.

As we continue refining the day together, the goal isn't simply to fit everything in. It's to create a timeline that feels relaxed, allows space for genuine moments, and helps you enjoy the experience rather than feeling rushed from one part of the day to the next.
What Happens Next

Turning the plan into a recommendation.

These planning notes are simply the first step in the process. As we continue refining the timeline and locations, I'll begin tailoring coverage recommendations around the specific flow of your day.

Step 01

Refine The Timeline

We'll continue refining ceremony logistics, portrait locations, travel times and reception formalities as plans become more finalised.

Step 02

Tailored Coverage Options

I'll prepare personalised coverage recommendations based on the timeline, locations and the moments that matter most to you both.

Step 03

Your Personalised Proposal

I'll bring everything together into a proposal outlining the coverage options, recommendations and collections that best suit your wedding day.

Every wedding is different. The purpose of this planning process is not simply to create a schedule, but to build a day that feels relaxed, flows naturally and allows you to be fully present with the people around you.
